Welcome to STAEWYNN, a provider of luxury travel experiences and wellness retreats. By using our website, www.staewynn.com, or engaging our services, you agree to these Terms of Service.
These Terms, along with any other information we provide before confirming your booking, govern your agreement with STAEWYNN (“we,” “us,” or “our”). Please review them carefully as they outline our mutual rights and responsibilities. References to “you,” “your,” or “client” include the first person named on the booking and all individuals covered under the booking. STAEWYNN is an independently owned and operated business powered by FORA, a registered Seller of Travel in California (CST No. 2151995-50). FORA’s accreditation allows us to book travel services through their industry accreditations and memberships, but registration does not imply endorsement by the State of California. STAEWYNN acts only as an intermediary, coordinating with third-party suppliers to fulfill your travel needs. When you make a booking, your contract will be with the supplier(s) providing the services you’ve booked.
STAEWYNN facilitates luxury travel experiences and wellness retreats by acting as an intermediary between you and third-party suppliers (“Suppliers”). These Suppliers are solely responsible for providing the services, accommodations, or experiences you book. When you make a booking, your contract will be with the Supplier(s) providing the services. STAEWYNN is not liable for any actions, omissions, or breaches by these Suppliers. Any contract entered into with a Supplier is independent of STAEWYNN, and any issues or disputes arising from their services should be addressed directly with the Supplier. Certain Suppliers may require additional agreements or waivers as a condition of participation, and failure to comply may result in forfeiture without refund or exchange.
By using our site or services, you acknowledge and accept these Terms.
ACCEPTANCE OF TERMS & CONDITIONS
By using our website, purchasing a service, experience, or product, or otherwise engaging with our services, you agree to these Terms of Service. If you do not agree, you may not access the site, use our services, or make a purchase. We may update these Terms periodically, and it is your responsibility to review any changes. Continued use of the website or services after updates constitutes acceptance of the revised Terms.
If you are making a purchase or using our services on behalf of a company or legal entity, you represent and warrant that you have the authority to bind that entity to these Terms. In such cases, “you” refers to that entity.
By using our services, you also agree to our Privacy Policy, which outlines how we collect and use your personal information.
ELIGIBILITY & PERSONAL INFORMATION
By using STAEWYNN’s services, you confirm that you are at least 21 years of age and legally able to enter into binding contracts. If you are under 21, you must have the consent of a parent or guardian to use our services. Your use of our services is also governed by our Privacy Policy, which explains how we collect, use, and protect your personal information. By using our services, you confirm that you meet the eligibility requirements and consent to the practices outlined in the Privacy Policy.
GENERAL CONDITIONS
We reserve the right to refuse service to anyone at any time. Your content may be transmitted across networks but will always be encrypted when required. You agree not to reproduce, duplicate, copy, sell, resell, or exploit any part of our services or products, use of the services, or access to the services or products without our express written permission.
PRICING
Third-party suppliers, including resorts, airlines, wellness providers, and event venues, have their own terms, conditions, and cancellation penalties, which apply regardless of notice. Prices quoted at the time of inquiry may change due to factors like fuel surcharges, supplier-imposed increases, seasonal pricing or exchange rate fluctuations. Once the booking is confirmed, the price will generally be locked in unless changes are made by the supplier or governing authorities. Quotes in foreign currencies are subject to exchange rate fluctuations and international credit card processing fees. STAEWYNN is not responsible for price increases due to surcharges, government taxes/fees, or supplier-imposed changes.
STAEWYNN reserves the right to modify pricing at any time for services it provides directly. Any pricing changes will not affect payments already made.
FEES & PAYMENTS
STAEWYNN does not charge a fee for hotel bookings if you have confirmed travel dates and a specific property in mind. For customized itineraries or additional services, a non-refundable planning fee of $450 per week of travel applies. This fee covers the consultation and planning process and may vary based on the complexity of the trip, destination, travel season, and number of travelers.
Planning fee payments are processed via a secure credit card link. Planning fees are non-refundable.
A deposit or full payment is required at the time of booking. If paying a deposit, the balance must be paid by the due date to avoid supplier cancellation and fees. Failure to make full payment by the due date may result in cancellation by the supplier, subject to their cancellation fees.
STAEWYNN does not process payments for travel or retreat bookings. All payments for accommodations, flights, and experiences are made directly to the supplier(s) under their terms and conditions.
CHARGEBACKS & DISPUTES
By booking through STAEWYNN, you agree not to initiate a chargeback for any payments made under these Terms. If a chargeback is filed, you are responsible for any legal fees and costs incurred by STAEWYNN in resolving the dispute, as well as any fees or costs you may incur as a result of the chargeback process.
For disputes related to services provided by third-party suppliers (e.g., accommodations, transportation, excursions), you must resolve those directly with the supplier. STAEWYNN is not responsible for disputes regarding third-party services.
RETREAT FEES & PAYMENTS
Deposit:
A non-refundable deposit of $500 is required to secure your retreat booking. This deposit is non-refundable due to upfront costs incurred. Your retreat booking is considered confirmed at the time of booking. By paying the deposit, you acknowledge and accept these cancellation and rescheduling policies.
Retreat-Specific Terms and Conditions:
Each retreat has its own payment schedules and cancellation requirements, which may vary slightly depending on the supplier. These terms will be outlined at the time of booking.
RETREAT RESCHEDULING & CANCELLATION
Rescheduling:
If you need to reschedule, please notify us at least 90 days before the retreat. You may reschedule to another retreat within 12 months for a $500 fee, which covers administrative and logistical costs. Rescheduling is not permitted if you notify us less than 90 days before the retreat.
Cancellation:
90+ Days Prior to Retreat: If you cancel more than 90 days before the retreat, 25% of your total payments will be forfeited. You may reschedule to another retreat date within 12 months, subject to availability. Refunds will be processed within 60 days using the original payment method.
Less Than 90 Days Prior to Retreat: Cancellations made within 90 days of the retreat are not permitted, and 100% of the trip fee will be forfeited.
Once the Retreat Begins:
No cancellations are permitted once the retreat begins, and 100% of the trip fee will be forfeited.
Retreat Postponement or Cancellation by STAEWYNN/Host:
In rare situations, STAEWYNN reserves the right to postpone or cancel a retreat due to unforeseen circumstances (e.g., acts of God, government restrictions, or other events beyond our control). If STAEWYNN cancels or postpones a retreat, we will make reasonable efforts to reschedule the retreat at a later date. Any registration fees already paid will apply to the rescheduled retreat, on a dollar-for-dollar basis. If STAEWYNN cannot reschedule the retreat, we will offer a full refund of the retreat fee (excluding any non-refundable expenses). STAEWYNN is not responsible for any additional costs or expenses such as airline tickets, hotels, penalties, other travel costs or services incurred.
Limited Liability for Unforeseen Circumstances:
STAEWYNN and its retreat hosts or facilitators are not liable for cancellations, delays, or disruptions beyond our control, including, but not limited to acts of civil or military authority, national disaster or emergencies, fire, mechanical breakdown, floods, catastrophes, acts of God, epidemics, pandemics, insurrection, war, riots, or failure of transportation, communication, or power supply. If a retreat is postponed or canceled for such reasons, the cancellation, rebooking, and refund policies of the third-party suppliers will apply.
RETREAT DATES, LOCATIONS, & ITINERARY CHANGES
STAEWYNN reserves the right to change retreat dates, locations (including accommodations), facilitators, hosts, speakers, events and itinerary at any time without prior notice. Guests will be notified of any significant changes as soon as reasonably possible.
BOOKING DETAILS
By booking through STAEWYNN, you confirm that you have read and agree to these Terms of Service, consent to our Privacy Policy, and are at least 21 years old.
You must review all booking details upon receipt and notify us immediately of any errors. Changes may not always be possible, may incur fees, and could affect your booking. Names must match passports to avoid issues. While STAEWYNN does not charge for document corrections, any supplier-imposed fees will be your responsibility.
AIR TRAVEL
We encourage clients to book their own flights, especially when using points or miles, as airlines will only assist the ticketed passenger with delays, cancellations, or other issues. If you need assistance, let us know.
Airfare quotes from STAEWYNN’s airline partners are only confirmed upon payment and issuance of an E-ticket number. If no E-ticket number is issued, your ticket is not confirmed. Once issued, airline-imposed changes to seats, schedules, or routes are beyond STAEWYNN’s control. While we will assist where possible, we are not liable for airline changes or cancellations. Travelers must ensure all airline reservations match their legal name as shown on their passport.
FLIGHT RESPONSIBILITIES
- Check-in at least 2 hours before domestic flights and 3 hours before international flights (timing may change).
- Reconfirm flight details 24-72 hours before departure.
- Some destinations require departure taxes payable in cash.
- Airlines may overbook, delay, or cancel flights—STAEWYNN will assist but is not responsible for costs or disruptions.
EXCURSIONS & PROMOTIONAL FARES
Discount fares may have restrictions. Changes to airlines, flights, or routes may result in a fare increase. Consult the airline before making any modifications to avoid additional costs.
PRICE CHANGES & SUPPLIER TERMS
Airline and cruise prices may increase after booking due to supplier or government-imposed fees. By booking, you consent to such increases. If a supplier reduces the price after booking, we will assist with rebooking if permitted, but refunds are not guaranteed. Suppliers have their own terms, conditions, and cancellation penalties, which apply regardless of notice.
RESERVATION VIOLATIONS
You agree not to purchase or use airline tickets in ways that violate airline policies, including “hidden-city” or “back-to-back” ticketing. Airlines may cancel your itinerary and revoke frequent flyer points. STAEWYNN is not liable for any penalties.
OVERBOOKING & AIRLINE CANCELLATIONS
Airlines may overbook, delay, or cancel flights. Compensation is determined by the airline, not STAEWYNN. If your flight is affected, we will assist where possible, but we are not responsible for disruptions or additional costs.
NO-SHOW, CANCELLATIONS & CHANGES
Cancellations or amendments must be made in writing and will be subject to supplier penalties, which may be up to 100% of the booking cost. If a supplier cancels or changes your booking, we will notify you. If a refund or alternative is offered, you must respond within the timeframe provided, or the supplier may issue a refund by default. STAEWYNN reserves the right to charge processing fees for refunds, cancellations, or modifications.
TRAVEL INSURANCE
We strongly recommend purchasing travel insurance that includes “Cancel for Any Reason” or “Cancel for Work” coverage. This will provide protection in the event of unforeseen circumstances including cancellations, delays, medical emergencies, or other unexpected disruptions. If you choose not to purchase insurance, you accept full responsibility for any losses. STAEWYNN is not liable for denied claims.
RISK OF TRAVEL & GOVERNMENT RESTRICTIONS
Travel may involve risks, including natural disasters, civil unrest, pandemics, and government-imposed travel restrictions. STAEWYNN is not responsible for any losses due to these events. It is your responsibility to check travel advisories at travel.state.gov and health requirements at cdc.gov/travel before departure.
FORCE MAJEURE
Except where otherwise expressly stated in these Terms, STAEWYNN will not be liable for any failure or delay in the performance of its obligations if such failure or delay is caused by events or circumstances beyond our control, even if reasonable precautions have been taken. These events include, but are not limited to, delays, cancellations, or service failures caused by shelter-in-place orders, quarantines, government mandates, pandemics (including COVID-19), war, civil unrest, natural disasters, strikes, fires, or any other event outside the control of STAEWYNN or its third-party suppliers.
In the event that such circumstances affect your travel plans, STAEWYNN will not be responsible for any resulting loss or damage. The cancellation, rebooking, or refund policies of the relevant third-party suppliers will govern your rights and remedies. We recommend reviewing these policies carefully and securing travel insurance to cover any unforeseen circumstances.
PASSPORTS, VISAS & IDENTIFICATION
A valid passport is required for all international travel and must be valid for at least six (6) months beyond your return date. Visas and entry requirements vary by country and are the traveler’s responsibility to obtain in advance. Non-U.S. citizens must verify requirements with the destination’s consulate. Beginning May 7, 2025, all U.S. domestic travelers must have a REAL ID-compliant driver’s license or passport. Visit dhs.gov/real-id for details.
MEDICAL & VACCINATION REQUIREMENTS
Travelers are responsible for obtaining necessary vaccines and medical clearances. We recommend checking with the CDC and consulting a doctor at least 8 weeks before travel for any required immunizations.
SUPPLIER INSOLVENCY & BANKRUPTCY
If a supplier (e.g., airline, cruise line, or hotel) ceases operations, STAEWYNN is not liable for losses. Travel insurance may provide protection, and we recommend purchasing supplier default coverage.
TRAVEL DOCUMENTATION
It is your responsibility to obtain and pay for all required travel documents, including passports, visas, tourist cards, and vaccinations. STAEWYNN can provide guidance, but we are not liable if you or any traveler in your party lacks the necessary documentation and is denied entry.
We strongly recommend checking visa and entry requirements with the Embassy or Consulate of your destination before traveling. A valid passport is required for all international travel, and many countries require it to be valid for at least six (6) months beyond your return date.
Travelers with criminal records, including DUI/DWI offenses, should verify entry restrictions directly with the destination country. STAEWYNN does not conduct background checks and is not responsible for denied entry due to past offenses.

ACCOMMODATION STANDARDS
STAEWYNN works exclusively with 4-star and above properties. We do not book vacation rentals or hotels using points or miles. Accommodation ratings are provided by the supplier as a general guide to services and facilities. Ratings and standards vary by country and supplier, and STAEWYNN does not guarantee their accuracy. Safety standards may differ from those in the United States, and we recommend reviewing relevant safety information before travel.
ROOM ASSIGNMENT
Rooms are allocated upon arrival at your accommodation. It is your responsibility to confirm check-in and check-out times directly with the supplier. Any local taxes or fees must be paid directly to the accommodation provider at check-in or check-out.
SPECIAL REQUESTS
If you have special requests (e.g., dietary needs, cribs, or room preferences), please inform us at booking. We will communicate these to the supplier, but fulfillment is not guaranteed, and STAEWYNN is not liable if requests cannot be accommodated.
CONSTRUCTION & RENOVATIONS
Hotels and accommodations may undergo renovations or refurbishment, which can result in noise or service disruptions. If STAEWYNN is notified of such work, we will inform you before booking or as soon as reasonably possible.
GUEST CONDUCT & RESPONSIBILITY
Suppliers may terminate your stay without a refund if your conduct violates their policies. You may also be required to pay for any damages caused during your stay. STAEWYNN is not liable for any claims, costs, or consequences arising from guest behavior. You agree to indemnify STAEWYNN for any claims made against us due to your conduct.
COMPLAINTS & DISPUTES
Your contract is with the supplier, and any concerns should be addressed directly with them. STAEWYNN will assist in resolving issues where possible, but complaints must be reported to the supplier immediately during your stay. Failure to do so may limit your ability to seek compensation. If a complaint is made after travel, you must contact the supplier directly as outlined in your booking confirmation.
ERRORS, INACCURACIES & OMISSIONS
Occasionally, the information on our website or in our services may contain typographical errors, inaccuracies, or omissions, including but not limited to travel package descriptions, retreat details, pricing, promotions, retreat availability, and other details. We reserve the right to correct such errors, update information, and cancel bookings or orders made based on inaccurate information, without notice. We are not liable for any damages or issues arising from reliance on such inaccurate information. We are not obligated to update or clarify any details unless required by law. Any specified dates for updates do not indicate that all information has been modified or refreshed.
INTERNATIONAL USERS
This Website can be accessed from locations around the world. STAEWYNN makes no representations that this Website or the materials available through it are appropriate for use outside the United States. If you access this Website from a location outside the U.S., you are responsible for ensuring compliance with all local and/or international laws.
ACCURACY, COMPLETENESS & TIMELINESS OF INFORMATION
We strive to provide accurate, complete, and up-to-date information on our website and services. However, we do not guarantee the accuracy, completeness, or timeliness of any information presented. The content on our website is for general informational purposes only and should not be relied upon as the sole basis for making decisions. All content, trademarks, logos, designs, and intellectual property on the STAEWYNN website and in connection with our services are owned by STAEWYNN, LLC and are protected by copyright, trademark, and other intellectual property laws. You agree not to use, reproduce, or distribute any of our intellectual property without our express written permission. Unauthorized use is strictly prohibited and may result in legal action.
All comments, feedback, reviews, suggestions, and other submissions made to STAEWYNN via this website or social media become the exclusive property of STAEWYNN. USER RESPONSIBILITIES & PROHIBITED USES

THIRD-PARTY SERVICES & LIABILITY
STAEWYNN serves as an intermediary between you and various third-party suppliers who provide essential services such as accommodations, transportation, tours, and activities and other necessary resources. When making your booking we will arrange for you to enter into a contract with the supplier(s) named on your booking summary. While we manage and coordinate these services on your behalf, your contract remains directly with the relevant supplier(s) and their booking conditions apply. The supplier’s terms and conditions will apply to your booking and we advise you to read these carefully as they contain important information about your booking.
STAEWYNN does not process payments for third-party services. All payments for third-party services (e.g., accommodations, transportation, tours, and activities and other necessary resources) must be made directly to the third-party supplier(s) under their terms and conditions. As part of this facilitation, STAEWYNN may collect and share payment details with third-party suppliers on behalf of clients. While we coordinate these transactions, all financial transactions remain between the client and the third-party provider.
Any disputes or claims must be addressed directly with the third-party provider or supplier. We make no guarantees about the reliability or financial standing of third-party suppliers. STAEWYNN is not responsible for any failure by these suppliers to honor bookings or issue refunds. By making a booking through us, you agree that the cancellation, rebooking, and refund policies of the third-party suppliers govern your rights and remedies.
STAEWYNN takes reasonable measures to ensure that all third-party providers engaged in client services adhere to confidentiality and data protection obligations through our Confidentiality and Data Processing Agreement.
STAEWYNN is not liable for any actions, omissions, or issues related to third-party supplier products or services. We are not responsible for any loss, damage, or injury arising from their services or products.
In the event of disruptions, delays, or service failures, STAEWYNN will advocate on your behalf to resolve the issue. However, we are not liable or responsible for the actions or inactions of third-party providers or suppliers. We do not assume responsibility for any supplier failure to meet their obligations, and we are not liable for resulting damages such as itinerary changes, cancellations, or lack of service.
OPTIONAL TOOLS
We may provide access to third-party tools or websites over which we have no control. These are provided “as is” and “as available,” without warranties, representations, or endorsements. We are not liable for any issues arising from your use of these tools. You are responsible for reviewing and agreeing to the terms of the third-party provider(s). This limitation of liability applies to STAEWYNN, its owners, directors, officers, employees, partners, affiliates, subsidiaries, interns, contractors, suppliers, service providers, merchants, and any other third-party providers or licensors, collectively referred to as “Providers”.
In jurisdictions where the exclusion or limitation of liability for certain types of damages is not permitted, STAEWYNN’s liability will be limited to the extent permitted by law, and under no circumstances will exceed the amount paid by the client for the specific service or product in question.
If you are dissatisfied with the website or our services, your only remedy is to discontinue use of the website and/or services.
INDEMNIFICATION
You agree to indemnify, defend, and hold harmless STAEWYNN and its Providers (including our owners, directors, officers, employees, parent, subsidiaries, affiliates, agents, partners, contractors, subcontractors, interns, suppliers, service providers, third-party providers, merchants, or licensors) from any claims, demands, actions, or liabilities, including reasonable attorneys’ fees, arising from your breach of these Terms of Service, your violation of any applicable laws, or your infringement of any third-party rights.
CONFIDENTIALITY
STAEWYNN is committed to maintaining the confidentiality and privacy of all client information. We will not disclose any personal or confidential details to third parties, except where necessary to fulfill the services requested or as required by law. Discretion is our priority, and we handle all information with the utmost care and professionalism.
STATUTE OF LIMITATIONS
You agree that regardless of any statute or law to the contrary, any claim or cause of action related to the use of our services or website, these Terms, or any related policies, must be filed within one (1) year after the claim arises, or it will be permanently barred.
GOVERNING LAW & DISPUTE RESOLUTION
These Terms shall be governed by and construed in accordance with the laws of the State of North Carolina, without regard to its conflict of law principles. Any disputes arising out of or relating to these Terms or our services shall be resolved through binding arbitration in Charlotte, North Carolina, in accordance with the rules of the American Arbitration Association. The arbitrator’s decision shall be final and binding, and judgment may be entered in any court having jurisdiction.
You agree that any dispute or claim shall be resolved individually, and you waive any right to participate in a class action, collective action, or representative action. All claims must be brought solely on an individual basis.
TERMINATION
These Terms remain in effect until terminated by either party. You may terminate by ceasing use of our services. We may terminate your access, with or without notice, if you violate these Terms.
CHANGES TO TERMS
STAEWYNN reserves the right to update or modify these Terms of Service at any time. Any changes will be effective immediately upon posting on our website. By continuing to use our services, you accept and agree to the revised Terms. It is your responsibility to periodically review these Terms to stay informed of any updates. Continued use of the services constitutes your acceptance of the modified Terms.
ENTIRE AGREEMENT & SEVERABILITY
